You never think about organizing your files in the beginning. It doesn’t seem like a big deal because there isn’t much to organize. This is usually a fatal mistake. It’s always best to have a plan for all of your data. None of your applications, videos, or music will be of any value if you cannot find them.
The super large external hard drives that are available are convenient for storing large items. Large hard drive storage is something that PC users have longed for, but it comes at a cost. In the past it was much easier to access and search drives when the storage space was small. It’s a lot more difficult to index and run a file search on large hard drives for specific files. Searching through thousands of files can even become a time consuming task for a computer.
The most logical form of organization in the virtual world is very similar to the real world resources that are used for organization. File folders are a simple yet valuable form of organizing that should not be overlooked. To the contrary, this should actually be at the top of your organization list.
An A to Z list of folders could help any user track their data at a much faster rate. Sub-folders could be added to the folders from the A to Z list as categories. A folder inside of the “S” folder, for example, could be labeled as a software folder. You could also do the list for music, movies, and documents. At this point you could define just about all of your important folders with labels. It would take some time to group these items if you have a large amount of files, but it would be worth the time.
You could also put more descriptive terms inside of a bracket for the folder name. If you wanted to distinguish their movie files, for example, you could group them into categories by type. You could put a sub-folder inside of your “M” folder labeled “movies” to store your favorite movie files. After your movies are organized you could give each folder a name. Once you label the folder with the movie name you can also add the movie type inside of brackets. With this you can group all of your drama, comedy, and horror movies into their own groups. When you search for the movie type within the brackets the search results would only yield the specific categories that were typed.
Another great method for organizing files can be found in multiple flash drive storage. You can color code your flash drives and save different types of data on multiple flash drives. You can create a drive for music, documents, and software. This may also appear time consuming in the initial stages, but it will save so much time in the long run.
These are clearly two of the best methods for organizing data. It is wise to follow these methods to increase your productivity.
